We are hiring for a Payroll Compliance Specialist as we continue to grow across the US and Canada with a customer focus. This person will work with management, sales, legal, tax and payroll teams to ensure policies and procedures are in place. 

This role is situated within myPay Solutions and will be integral in keeping us compliant and in line with business processes: 

The role can be explained across the following areas: 
 

Risk Analysis    

  • Review Owner Applications for new and existing clients: (NTF, Non-DD, Owner Application re-review, etc.)  

  • Execute compliance and financial risk assessment on client businesses and owners through confidential criminal and fraud research and investigation using CLEAR 

  • Mitigate financial loss and fraud, driving revenue growth and significant cost savings  

  • Liens/Judgments  

  • Review and analyze businesses and owners in CLEAR to determine what business (if any) that we will do with them   

  • Statuses: Denied both TFS and DD, Denied TFS with 96-hour DD, Delayed, Approved, etc.  

  • Work directly with sales, coordinators, onboarding, and tax giving procedural guidance for each client as needed  

  • Make clear high-level decisions and recommendations that affect doing business with clients      

  • Review any submitted lien proof to determine if the documentation provided satisfies the outstanding lien/judgement found in CLEAR  

    Incident Reports: End-to End Case Management  

  • Partner with management, legal, and inter departmental teams   

  • Investigate and analyze to find root cause, when, and why it occurred  

  • Document detailed legal report of findings   

  • Review and examine findings to monitor trends, close gaps, recommend improvements, and promote prevention of future incidents 

  • Initiate trainings and procedural updates as needed  

  • Comply with Federal and State Regulations   

Business Continuity Plan 

  • Update plan regularly to include all current employees with their information in case of emergencies 

  • Specific steps are outlined in case unexpected events occur so that myPay Solutions can continue business appropriately 

  • Payroll Relief/SBPR  

  • New client Check-Ins, Payroll Relief Direct Deposit updates, and owner setup double check in SBPR  

  • Procedural Processes  

  • Identify/develop process improvement ideas, implement, and maintain detailed procedures  

  

Reporting

  • Cadence – on demand, daily, weekly, monthly, quarterly, and annually  

  • Regularly generate focused insights and forecasting   

  • Produce, aggregate, and analyze data for reports 

  • SBPR/EMS/BI/VO  

  • Notify appropriate teams of trends and discrepancies.   

  • Partner with development to create reports as needed for cross departmental teams.   

  • CA Access – run report and remove access to myPay Direct for inactive clients. 

  

Terminations  

  • Review all Terminations for accuracy and audit for trends  

  • Correct and/or send to rep to fix any issues   

  • Analyze trends of terminations; both client facing and internal staff  

  • Aggregate weekly Termination Report    

  • Deliver stats during weekly We Care meetings 

  

Staff Security Setup and Maintenance   

  • Add/Remove/Maintain employees in VO and SBPR by editing their security rights   

  • Set up access based on designated role assigned to each rep  

  • Edit security rights on demand per supervisor request  

  • Initiate ServiceNow & development tickets   

  

Administration

  • SBPR – All FIRM Level Setup   
  • Billing items  

  • Sales tax items  

  • Custom Fields tab 

  • Staff Security Groups 

  • Client Staff Security Groups  

  • Setup and add reports to Client Security Groups so clients obtain access to specific reports in their portals  

  • NAICS codes   

  • Clients are assessed at time of sale to determine risk category of High, Medium, or Low based on their NAICS code  

  • Update NAICS codes to ensure correct codes describe each client’s business  

  • Disperse NAICS codes into Low, Medium, and High-risk categories  

  • Ensure Compliance with state AML licensing 

  • Forms/Power Automate (Flow)  

  • Create, administer, test, and maintain all forms, including technical trouble shooting

    Process improvements and streamline workflows  

  • Redesign workflows across teams to increase productivity and efficiency  

  • Portal News Admin  

  • Update/Maintain Portal News on client portals with pertinent information  

  • Office 365 SME  

  • Administer SharePoint and Teams integration  

  

Training  

  • Create and execute internal training for new team members  

  • EDGE, New Hire process, Portal procedures, Forms, etc.      

  • Provide and coordinate compliance training as needed to impacted business units   

 

Audits  

  • Internal/External partner with internal teams and third parties, Staff Security, and MFA Audit    

  • Sales Tax Audit   

  • NAICS Codes     

  • World-Check Audit – businesses and owners   

  • CLEAR Audit- CSSC’s client’s employees   

  • Billing Audits  

  • AML (Anti-Money Laundering)   

  • States and Licensing – Provide data to Corporate Payroll Compliance to assist in renewals and state audits   

  • PWC Audit  

  • SOC Audit  

  • Internal Audit  

 

Billing  

  • Annual price increase- analyze, recommend, and implement   

  • Run/Aggregate and analyze financial data  

  • Provide analytical forecasting and reporting to senior management  

  • Track historical and statistical comparison data  

  • Evaluate current pricing and billing   

  • Identify and Recommend pricing/billing changes to increase designated profit margins  

  • Develop models to support decision making  

  • Implement System changes while working with development and leadership  

  • Maintain system billing items   

  • Create and run billing reports for audit and review
