This exciting role is looking for an energetic, ‘hands-on’ team leader to develop, improve and streamline our end-to-end processes and create a high performing team to closely support our client in the Derby area. Using your leadership skills, you will support an embedded team providing our client with business-critical document services. You will develop a working knowledge of all processes with an expectation that as a Team Leader you will contribute to the success of the team and the client meeting their targets.

Although you will be predominantly based at one of our client sites in Derby, some travel will be expected to ensure remote workers at other sites are supported; thus, a full UK Driving licence is essential.

What we ask

Responsibilities and Tasks:

  • Supervise, coach, train and motivate your team to ensure the needs of client are met and business goals are achieved.
  • Use your leadership skills to identify and resolve conflicts, escalating to the DSM / client where necessary.
  • Ensure your team have adequate resources to perform efficiently and achieve agreed SLA’s.
  • Assign and support the team with their annual objectives by holding regular check-ins and performing a comprehensive end of year review.
  • Manage holiday requests and absences for your direct reports.
  • Deputise for your team where necessary to ensure that targets are achieved.  
  • Carry out short term planning of team resources to meet the required service level agreements.
  • Work closely with the DSM & Client to monitor and agree priorities communicating changes to the team and ensuring priority workloads are met.
  • Capture and monitor both the demand entering the team and the throughput produced by the team, reporting said metrics to the DSM and client.
  • Act as the escalation point for Document Services Operatives (DSOs), make decisions where appropriate and escalate to your line manager when needed.
  • Ensure both the client’s policies and procedures, and those of Canon are always complied with.
  • Develop extensive knowledge and expertise on all the hardware and software used by the team.
  • Support the DSM with managing the asset register and horizon plan. Identifying issues and solutions to ageing equipment.
  • Identify process improvements and cost saving initiatives wherever possible.
  • Help market and promote the service offerings via the design and cascade of promotional materials.
  • Maintain the services web-based request forms and information website.
  • Develop a strong customer service attitude and ethos, managing customer queries and complaints in a timely and professional manner and ensure any business-critical operational issues are escalated.
  • Build key relationships with other functions to facilitate the achievement of the department objectives and act as the escalation point for queries, whilst making decisions as appropriate.

Required Skills & Qualifications:

Essential:

  • Motivated and proactive, you operate with a flexible approach to work that ensures that our customer commitments are met.
  • You will have strong motivational and coaching team leader skills.
  • IT Proficient – You will be a confident computer user who demonstrates accurate keyboard & word processing skills.  A good working knowledge of MS Office, including Microsoft Excel is essential.
  • Good written English and numeracy skills.
  • High level of attention to detail, with strong organisational skills.
  • Good Communication skills.
  • Strong Customer Service skills required.

Desirable:

  • Experience of working within a document services area would be most useful.
  • Profit & loss – basic understanding.
  • Commercial and legal understanding.
  • Previous experience maintaining company records in an electronic database is desirable.
  • Previous experience of using document scanning hardware and reprographics kit is desirable.
  • AIIM, PRINCE2, APM, AGILE or other Information / Project Management qualifications would be an advantage.
