You will provide an efficient and professional reception service to CareTech Community Services Ltd, at all times portraying the Company image to staff and clients, both visually and verbally.              



  • Ensure that all phone calls are dealt with politely, efficiently and effectively, directing the calls through to the relevant individuals or taking messages and passing them on to the appropriate person in an accurate, timely and professional manner
  • Welcome all visitors, portraying the company image and ensuring they are made comfortable within the reception area and are offered refreshments. Ensure that the visitor is met by respective parties as a matter of priority or updated accordingly regarding delays
  • Ensure that all visitors sign in and out of the building
  • Book meetings rooms and maintain the meeting room diary
  • Prepare meeting rooms with refreshments and any equipment that is required. Clear the meeting rooms once they are no longer in use
  • Ensure that the reception area, kitchen, seating area and training rooms are well maintained and tidy in appearance at all times, checking on a daily basis
  • Monitor “mailbox” facilities ensuring that these are cleared regularly allowing callers to leave messages for the relevant individual
  • Ensure that the correct company literature is available in the reception area.
  • Ensure that notice boards/job adverts are cleansed on a weekly basis
  • Update the internal telephone directory and circulate to all departments each time there is an update
  • Monitor office stationary levels and order when necessary
  • Frank all outgoing mail and meet the postal service within the specified timescales
  • Record and handle all incoming and outgoing couriers
  • Order stock of coffee, team and sugar supplies when low
  • Maintain responsibility for photocopier, ensuring that ink and other supplies are regularly topped up. Remove jams and liaise with repair people and regular maintenance officers
  • Assist with general administrative or ad hoc duties when requested
  • Adhere to all company policies and procedures with regards to Health & Safety
  • Become Fire Marshall
