A bit about the Offices of the Vice-Chancellor  

The Offices of the Vice-Chancellor is made up of the University Leadership Team and the Executive Support Team.

The University Leadership Team (ULT) are the leadership team of the University. Led by our Vice-Chancellor, the University Leadership Team manage and oversee the running of the University of Salford and in the effective delivery of the University’s strategic objectives.

The Executive Support Team are a pooled resource of 8 Executive Assistants, 1 PA Directive Support Officer and 1 Systems Support Officer who are led by the Operations Manager and are responsible for providing executive administrative support to members of ULT and private secretarial support to the Chair of Council and Chancellor

The Executive Support Team are a centre of excellence for first class executive administrative support, who consistently always demonstrate professional and positive behaviours, acting as a role model and promoting an office which not only inspires, but develops others.

What will the role involve? 

This is a permanent role offering a unique opportunity to directly support the University Leadership Team in the delivery of the University’s Strategic Objectives. The Executive Assistants work as a pooled resource and are responsible for providing first class Executive Support, ensuring the smooth and efficient completion of all administrative tasks. The role forms an integral part of the Executive Support Team and will work closely with the wider team to ensure the effective administration of the Office of the Vice-Chancellor, which is the central point of communication and business flow for the leadership of the University.

We are looking for an Executive Assistant who is resourceful, innovative, proactive and can seamlessly adjust in a changing and challenging environment. An ability to multi-task is essential as no one day will be the same! You will need to be able to demonstrate outstanding customer service, time management and organizational skills and a high level of self-motivation and initiative to ensure that the Offices of the Vice-Chancellor can conduct its duties to the highest of standards.

The Executive Assistant will collaborate with team members, internal and external stakeholders and help to establish new ways of working, pioneer change, simplify processes, and be adept at using and exploiting digital technology to achieve results.

You’ll have the following skills & experience

Ideally you will have Executive Assistant experience

  • You’ll be a great communicator and enjoy connecting with people.
  • You’ll be big on co-creatingand collaborating with a wider team.
  • You’ll be daring when it comes to making decisions and will be highly organised.
  • You’ll obviously be committed to delivering and promoting an amazing student experience, and will be able to demonstrate an understanding of, and empathy to the needs of a large and diverse student community.

You will need to be able to demonstrate:

  • Strong skills in planning, organisation and time management and experience of complex diary and inbox management
  • IT proficiency, with particular emphasis on the use of Excel to store, organise, and analyse data at an intermediate/advanced level
  • The ability to create reports, agendas, meeting slides and minutes using Microsoft 365
  • An excellent level of accuracy and attention to detail, and the ability to work to very tight timeframes and deadlines
  • High standard of written and verbal communications skills
  • Continuous improvement by questioning inefficient processes and look for smarter ways of working.
  • Problem solving in a structured and methodical way, analysing, and exploring the causes of issues.
